What an Ibiza estate manager actually does

Most absentee owners in Ibiza confuse property management, concierge and estate management. Here is what a real estate manager does, what they do not do, and when one is worth engaging.

The terms are blurred on purpose. "Property management", "concierge" and "estate management" are used interchangeably across Ibiza, even though the work is meaningfully different. For an absentee owner the distinction matters — because each model is good at different things and bad at others.

Property management, in the Ibiza sense

Most agencies that call themselves property managers on the island run rental turnover at scale. Their economics depend on filling weeks in summer. Inspection of the villa is delegated to cleaners. Off- season attention is minimal. This is the right model if your home is a rental asset; it is the wrong model if it is the place you live.

Concierge

Concierge firms are excellent at restaurants, drivers, captains and the choreography of a stay. They are not, in practice, on a roof in November to verify a flashing repair, nor at the Consell to chase a permit, nor on a first-name basis with your tax representative. Concierge is event management. It is not custodianship.

Estate management, properly

A real estate manager is the single accountable human through whom everything to do with the property runs. Vendors invoice through one coordinator. Renovations are verified on site. Compliance — ITVs, utilities, insurance, residency notes — is tracked and pre-empted. Reporting is weekly or monthly, written, calm. The owner or family office sees a single coherent stream rather than ten fragmented ones.

What a good estate manager will not do

Take commissions from your contractors. Use the home for personal purposes. Subcontract the relationship. Disappear in winter. Confuse being available with being effective.

When to engage one

If your villa is worth several million euros, if there are vendors coming and going regularly, if you live primarily off-island, and if a small inattention can cost more than the engagement itself — then the calculation is straightforward. For homes in active renovation, or homes about to be sold or transitioned, an estate manager is the single most under-priced piece of staffing you can put in place.
